How Friends of Medicine collects, uses, and protects your information.

Friends of Medicine, LLC ("Friends of Medicine," "FOM," "we," or "us") operates friendsofmed.com and the surrounding network of events, communications, and programs collectively known as The Network. This Privacy Policy explains what information we collect when you visit our website, attend our events, or otherwise interact with us, how we use that information, and the rights you have over it.

If you do not agree with this policy, please do not use our website or services.

1. Information we collect

Information you provide directly

When you submit a form on our website - whether to inquire about membership, apply to be a city partner, express sponsor interest, apply for Founders Friday, or contact us through any other channel - we collect the information you choose to provide. This typically includes your name, email address, phone number, professional role, and any responses you give to free-form questions on the form.

When you purchase tickets to one of our events, you provide payment and contact information to our ticketing partner (currently Ticket Tailor), who processes payment through Stripe. We receive your name, email, and the details of your purchase, but we do not directly receive or store full payment card information.

When you subscribe to our newsletters, podcast notifications, or event reminders, we collect the email address you provide and any preferences you set.

Information collected automatically

When you visit friendsofmed.com, our hosting and analytics providers may automatically collect certain technical information, including your IP address, browser type, device type, operating system, the pages you view, the time and duration of your visit, and the referring website. This information is used to operate, secure, and improve the site.

We use a limited number of cookies and similar technologies for essential site functionality and aggregate analytics. We do not currently use third-party advertising cookies.

Information from third parties

We may receive information about you from third parties, such as event partners, venue hosts, mutual contacts who refer you to us, and platforms where we publish content (Apple Podcasts, YouTube, Instagram). We treat any such information consistent with this policy.

2. How we use your information

We use the information we collect to:

  • Review applications and inquiries for membership, partnerships, sponsorship, and event participation
  • Communicate with you about events, programs, and opportunities relevant to your stated interests
  • Process event ticket purchases and confirm attendance
  • Personalize our communications and the content we send you
  • Operate, maintain, and secure our website and services
  • Comply with legal obligations and enforce our terms
  • Improve our programs, content, and overall experience based on aggregate insights

We do not sell your personal information.

3. Who we share information with

We share your information only with the parties necessary to operate Friends of Medicine. These include:

  • Service providers who help us run the business. Currently these include GoHighLevel (our customer relationship and workflow platform), Ticket Tailor and Stripe (event ticketing and payment processing), Microsoft 365 and ProofPoint (email and email security), Zapier (workflow automation), and Netlify (website hosting). Each of these providers is bound by their own terms and data handling commitments.
  • Event venues and partners when necessary to facilitate your attendance at a specific event (for example, sharing a guest list with a host venue).
  • Legal and regulatory authorities when required by law, court order, or to protect the rights, property, or safety of Friends of Medicine, our members, our partners, or the public.
  • Successors in the event of a merger, acquisition, sale of assets, or similar transaction. We will provide notice before your personal information becomes subject to a different privacy policy.

We do not share your information with third parties for their own marketing purposes.

4. Event photography and media

Friends of Medicine events are routinely photographed and filmed. By attending one of our events, you acknowledge that your likeness may be captured in photographs, video, or audio recordings, and that we may use those recordings for marketing, editorial, and historical purposes, including on this website, on our social media channels, in newsletters, in the Behind the Scrubs podcast, and in promotional materials.

If you would prefer not to be photographed or filmed, please notify the event host on arrival and we will make reasonable efforts to honor your request. If you later wish to request removal of a specific image or recording in which you appear, please contact us using the information below.

5. Your rights

Regardless of where you live, you may at any time:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information, subject to our legal obligations to retain certain records
  • Unsubscribe from marketing emails using the link at the bottom of any such email

For California residents (CCPA / CPRA)

If you are a California resident, you have additional rights, including the right to know the categories of personal information we collect, the right to request deletion, the right to opt out of any sale or sharing of personal information (we do not sell personal information), and the right to non-discrimination for exercising these rights.

For visitors from the European Economic Area, United Kingdom, and Switzerland (GDPR)

If you are located in the EEA, UK, or Switzerland, you have rights under applicable data protection law, including the right to access, rectify, erase, restrict, or object to processing of your personal information, the right to data portability, and the right to lodge a complaint with your local data protection authority. Our legal basis for processing your information is either your consent, our legitimate interest in operating Friends of Medicine, or the performance of a contract with you.

6. Data security

We use reasonable administrative, technical, and physical safeguards designed to protect the personal information we hold. However, no method of transmission over the internet or method of electronic storage is completely secure. We cannot guarantee absolute security, and we encourage you to use strong passwords and exercise caution when transmitting sensitive information.

7. Children's privacy

Friends of Medicine is intended for adult healthcare professionals and business operators. Our website and services are not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe we have collected information from a child, please contact us and we will delete it.

8. Updates to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated through the website or by email where appropriate.
